The Actions tab lets you execute follow-up workflows based on the data extracted from your email. Actions are configured by your organization and may vary depending on your setup and the email category.
Manual actions have an “Execute” button. Click it to trigger the action. Examples include exporting data to your TMS, downloading extracted information as a file, or generating a pre-filled email reply.
Some actions are triggered automatically during processing and display “Triggered automatically” instead of an Execute button. These cannot be manually triggered.
After executing an action, the result depends on the action type:
File downloads — A new browser tab opens with the download link. Note: file downloads are not supported in Outlook Desktop on macOS; use Outlook on the Web instead.
Email replies — Outlook’s Reply All compose window opens with pre-filled response text, all original recipients, and any file attachments. You can review and edit before sending.
Email categorization — Adds an Outlook category to the email (e.g., “Processed”). The category must already exist in your mailbox’s category list.
TMS/system exports — Data is sent to external systems with a success or failure message and any relevant reference numbers.
If an action fails, an error message will describe what went wrong. Common causes include network issues, external system unavailability, missing data in required fields, or permission issues. You can retry manual actions. For persistent errors, contact your administrator or Freightdog support.
